1. Who we are

PDF Ninjas (pdfninjas.com) is a free online PDF toolkit operated by Tiamata Digital. We provide browser-based tools for merging, splitting, compressing, converting, and editing PDF documents. This policy explains what information we collect when you use the service, why we collect it, and how it is protected.

2. What data we collect

Email address

We ask for your email address before processing each file. We use this solely to track your annual usage allowance (25 free operations per calendar year per email address). We do not use your email address for marketing, and we do not share it with third parties for advertising purposes.

Usage records

We store a record of each processing operation you perform — the tool used, the approximate file size (input and output), and a timestamp. We use this data to enforce the free usage limit and to understand which tools are most useful. These records are retained for up to 13 months and then deleted.

Cookies and analytics

We use Google Analytics 4 to understand how visitors use the site — which pages are visited, how long sessions last, and which countries traffic comes from. Google Analytics uses cookies. The data collected is aggregated and does not identify you personally. You can opt out of Google Analytics using the Google Analytics Opt-out Browser Add-on.

We may also display Google AdSense advertisements on the site. Google may use cookies to show you relevant ads based on your browsing history. You can manage your Google ad personalisation settings at adssettings.google.com.

Server logs

Our hosting provider (Fly.io) automatically records standard server log data including your IP address, browser type, referring URL, and the pages you access. These logs are used for security monitoring and are retained for 30 days.

3. Your uploaded files

This is the most important section for most users. When you upload a PDF or other document for processing:

• Files are processed entirely in memory. They are never written to a database, file system, or any persistent storage on our servers.
• Files are discarded immediately after processing. Once your download begins, the file data is released from memory. There is no window in which we could retrieve or review your file after you have downloaded the result.
• We do not read, analyse, or transmit the content of your files. Our processing is automated — no employee or contractor views the content of any document you upload.
• Files are not shared with third parties for any purpose, including advertising targeting, machine learning training, or analytics enrichment.

We recommend that if you are processing highly sensitive documents (legal contracts, medical records, government identification), you satisfy yourself with this policy before uploading, and that you use a trusted network connection.

4. How we use your data

We use the information we collect for the following purposes only:

• To provide the PDF processing service
• To enforce the annual free usage limit per email address
• To monitor service availability and diagnose technical issues
• To understand aggregate usage patterns and improve the tools
• To protect the service from abuse

We do not sell your personal data. We do not use your data for automated decision-making that produces legal or similarly significant effects.

5. Data sharing

We share minimal data with a small number of service providers who help us operate the site:

• Supabase — cloud database hosting for usage records and email addresses. Data is stored in the EU West (Ireland) region.
• Fly.io — application hosting. Servers run in the Amsterdam, Netherlands region.
• Google Analytics / Google AdSense — analytics and advertising. Subject to Google's own privacy terms.

We do not share your data with any other third parties. We will disclose information to law enforcement or regulatory authorities only when required to do so by applicable law, and only to the extent required.

6. Data retention

We retain your email address and usage records for 13 months from the date of your last operation. After that period, records are automatically deleted. You may request earlier deletion by emailing privacy@pdfninjas.com.

7. Your rights

Depending on where you are located, you may have the following rights regarding your personal data:

• Access: Request a copy of the data we hold about you.
• Correction: Ask us to correct inaccurate data.
• Deletion: Ask us to delete your data.
• Restriction: Ask us to restrict how we process your data.
• Portability: Request your data in a machine-readable format.
• Objection: Object to processing based on our legitimate interests.

8. Children

PDF Ninjas is not directed at children under the age of 13, and we do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us at privacy@pdfninjas.com and we will delete it promptly.

9. Changes to this policy

We may update this policy from time to time. When we do, we will update the "Last updated" date at the top of this page. We encourage you to review this policy periodically. Continued use of the service after changes are posted constitutes your acceptance of the updated policy.
