What types of PDFs convert best to Excel
Text-based PDFs with structured data — such as bank statements, financial reports, product catalogues, and data export files — convert most accurately. PDFs with clearly defined table grids where columns are visually separated convert very well; the extractor identifies column boundaries and maps each cell to its appropriate spreadsheet column. PDFs that are just paragraphs of text will extract all the text into the first column, which may require some manual reformatting. Scanned PDFs (which are images of text) do not extract text at all and cannot be converted to useful spreadsheet data without OCR software.
Cleaning up the spreadsheet after conversion
After downloading your Excel file, some manual cleanup is often needed. Common issues include merged cells that need to be split, header rows that were not recognised as headers, currency symbols that landed in their own column instead of with the number, and extra blank rows between data rows. Use Excel's "Text to Columns" feature (Data menu) to split cells that contain multiple values. For recurring conversions — such as processing monthly bank statement PDFs into the same spreadsheet format — it is worth recording an Excel macro to automate the cleanup steps.
Alternatives when PDF extraction is imperfect
If the automatic extraction does not produce a clean spreadsheet, there are a few strategies to improve results. For financial documents, many banks and accounting platforms let you export data directly as CSV or Excel — check if a direct export option exists before resorting to PDF conversion. For tables that are close but not quite right, copying the table from a PDF reader (like Adobe Acrobat Reader) and pasting into Excel sometimes works better than converting the whole file. Google Chrome's built-in PDF viewer also supports selecting and copying text from PDF tables.
